AI Usage Policy

This AI Usage Policy describes how Chronos Web Tech Kft. uses Artificial Intelligence (AI) technologies in connection with the Appointio platform. The Company is committed to using AI responsibly, transparently, and in accordance with applicable laws, including the GDPR and, where applicable, the EU AI Act.

Principles include transparency, privacy by design, security by design, human oversight, accountability, proportionality, and data minimization. AI technologies are used only where they provide a legitimate operational benefit.

The Company may use AI-assisted technologies for purposes such as software development assistance, documentation drafting, code review, translation, grammar and writing assistance, quality assurance, customer support drafting, internal productivity, cybersecurity analysis, and operational automation. Human review remains responsible for decisions that materially affect customers.

The Company does not use AI to:

• train public or third-party AI models using customer personal data
• sell customer data
• profile users for advertising purposes
• make solely automated decisions that produce legal or similarly significant effects without appropriate safeguards
• access customer information beyond what is necessary for the requested service

Customer data remains the property of the customer. Customer content is not used for AI model training, and personal data is not intentionally submitted to publicly available AI systems for training purposes. Google user data is processed only for the functionality requested by the user, is never used to train generalized AI or machine learning models, and is not used for advertising or marketing profiling.

Important business decisions are reviewed by qualified personnel, AI-generated code may be reviewed before deployment, and customer communications generated with AI assistance may be reviewed prior to sending where appropriate. AI supports human decision-making but does not replace human responsibility.

Where AI-assisted services are used, the Company implements reasonable safeguards designed to protect confidential information, including access controls, encryption, secure authentication, contractual confidentiality obligations, and provider risk assessments.

The Company strives to ensure that AI technologies are used responsibly. This includes efforts to reduce bias where applicable, promote fairness, maintain transparency, document significant AI-related processes, and monitor evolving legal and regulatory requirements.

Third-party AI providers are evaluated based on security, privacy, contractual protections, regulatory compliance, reputation, and technical reliability. If AI-powered customer-facing features are introduced in the future, the Company will update this Policy where necessary, provide appropriate information to users, and obtain consent where required by applicable law.
